What is AYW?+
AYW (Automate Your Work) is a done-for-you automation agency. We build custom AI and workflow systems that replace repetitive manual processes in your business — sales, ops, support, content, and RevOps. We don't sell software; we build the system, hand you the keys, and stay on to maintain it.
Who is AYW built for?+
We work best with B2B operators between $1M and $50M ARR who have at least one painful, repetitive workflow they want eliminated. You move fast, don't need eight stakeholders to approve a decision, and want ROI in weeks — not quarters. If you're pre-revenue or looking for a Zapier consultant, we're probably not the right fit.
How is this different from hiring a developer or an agency?+
A senior automation engineer in the US runs $180k+ per year fully loaded, takes three months to ramp, and works on one project at a time. A traditional agency charges retainers for strategy you don't need. We deliver an entire system in 4–6 weeks, fixed-scope, with a single fixed price — and we've built this exact type of system 30+ times. No ramp time. No benefits. No PTO.
How many clients do you take on?+
We take on 4 new clients per quarter. Every build is custom and gets our full attention — that's not possible if we're managing 20 projects at once. This does mean spots fill. If you're reading this in May or June, there are currently 2 spots remaining for this quarter. After that, you're looking at September.
What does it cost?+
Every build is custom-quoted based on scope. Our minimum engagement is $500 and most projects land between $5k and $45k. We share exact pricing on the strategy call once we understand what you actually need — no pricing on a website because we refuse to sell you a package when what you need is a custom system. Clients typically see full ROI in under 60 days.
Do you charge a retainer after the build?+
No retainer is required. Every project ships with 30 days of post-launch fixes included. After that, most clients choose to keep us on a light maintenance retainer ($1.5k–$4k/mo) for monitoring, updates, and new builds — but it's entirely optional. You own the system outright from day one.
Is there a minimum engagement?+
Yes — $500 is the minimum. This covers small, focused automations (a single workflow or integration). Anything more complex is scoped and priced separately on the strategy call. We don't do hourly billing.
Do you offer payment plans?+
For builds over $10k, we typically split into two invoices: 50% at project start, 50% at launch. For larger engagements we can discuss milestone-based billing. We don't offer financing, but the structure is flexible — bring it up on the call and we'll work something out.
How long does a typical build take?+
Most builds ship in 4–6 weeks from project kickoff. Our fastest delivery was 14 days. The timeline depends entirely on scope and how quickly your team can provide access and feedback. We give you a committed timeline in the build document before work starts — not a guess.
What happens on the first call?+
The strategy call is 20 minutes, completely free, and zero obligation. We'll ask you to walk us through one specific manual workflow you want to eliminate. We'll audit it live on the call — asking where data lives, what the trigger is, what the output should be — and tell you honestly if automation solves it, and roughly what it would take. No slide deck. No pitch. A straight technical conversation.
How much time does our team need to invest?+
Typically 2–3 hours total from your side across the entire project: the strategy call, a kickoff session to get access and credentials, and a final review before launch. We send a Friday update every week so you're always informed — but you don't need to be on calls constantly. We build; you approve.
What happens after handoff?+
Every system ships with full documentation (written + Loom walkthroughs), monitoring dashboards so you can see what's running, and 30 days of post-launch fix coverage included. If anything breaks in month one, we fix it at no charge. After that, optional maintenance retainer or pay-per-fix — your call.
What tools do you build with?+
We're certified partners with n8n, Zapier, Zerowork, and Robomotion, and we work with virtually any tool in the modern B2B stack — HubSpot, Salesforce, Notion, Slack, Gmail, Airtable, Webflow, Intercom, and more. We also build custom API integrations and deploy LLMs (GPT-4, Claude, Gemini) where the workflow requires language understanding. If you have a tool, we've almost certainly built with it.
Is our data safe?+
Yes. We sign NDAs before any work starts, use only SOC 2-certified infrastructure providers, and can deploy entirely within your own environment if required (no data ever leaves your infrastructure). We never use your data to train models. If you have specific compliance requirements (HIPAA, GDPR, SOC 2), tell us upfront and we'll design the architecture to meet them.
Do you train models on our data?+
Zero training on your data. We use your data to configure prompts and routing logic — but it is never sent to a third party for training purposes, and we use API access (not shared endpoints) for all LLM calls. Your data is used to run your automation, not to improve anyone else's model.
Do we have to switch tools or migrate anything?+
Almost never. We build into your existing stack by default — no migrations, no forced tool switches. If a tool is fundamentally the wrong choice for the job (rare), we'll say so on the strategy call with a specific reason. But we don't push tools for the sake of it — the system is built around what you already use.
What kind of ROI should we expect?+
Across our client base, the average team recaptures 40+ hours per week of senior time within the first 30 days. Most builds pay for themselves within 4–8 weeks. Our best-performing client generated $47k in new MRR within 30 days of deploying an AI sales agent we built in 14 days. Results vary by workflow — we'll give you specific ROI math for your situation on the call.
Do you guarantee results?+
We guarantee the system works as specified in the build document. If it doesn't perform to spec at launch, we fix it — that's what the 30-day post-launch coverage is for. We can't guarantee business outcomes (no one can) but we can guarantee the system does exactly what we said it would do. If we don't think automation will solve your problem, we'll tell you on the first call — not after you've paid.
Can we see examples of your work?+
Yes — our Case Studies page has detailed breakdowns of recent builds including the workflow we automated, the tools used, and the measurable results. We can also share client references on request during the strategy call. Client names are anonymized in public case studies unless they've given explicit permission to be named.
What if something breaks after handoff?+
Month one is covered — any bugs or spec mismatches are fixed at no charge. After 30 days, if you're on a maintenance retainer we handle it automatically. If not, we offer pay-per-fix support (typically $200–$800 depending on what broke and why). We also build monitoring alerts into every system so we often know something's off before you do.
